1. Overview
TenantVille (“TenantVille,” “we,” “us”) is a rental-management platform for independent landlords and small property managers, and for the tenants they invite. This Privacy Policy explains what information we collect, how we use it, when we disclose it, how long we keep it, and the choices you have.
This policy applies to the TenantVille website, the landlord application, the tenant portal, and published rental websites hosted through TenantVille.
2. Information we collect
Account information. When you sign up we collect your name, email address, and authentication credentials (passwords are handled by our authentication provider and are never visible to us in plain text).
Organization and rental data. Landlords enter information about their organization, properties, units, leases, tenants, rent schedules, charges, payments, and maintenance requests. This can include tenant names, email addresses, phone numbers, lease terms, and payment history.
Tenant portal information. Tenants who accept an invitation provide sign-in credentials and may add contact details, maintenance requests, and payment activity.
Payment information. Online payments are processed by Stripe. When you pay rent or subscribe, your card or bank details are entered directly into Stripe's hosted pages. TenantVille does not receive, store, or have access to your full card number or bank account credentials. We receive from Stripe only payment status, amounts, and limited identifiers (such as customer, payment, or account IDs) needed to record and reconcile transactions.
Support communications. If you contact us through the support form, we collect your name, email address, and the contents of your message so we can respond.
Usage, device, and log data. Like most web services, our hosting and infrastructure providers automatically process technical information when you use the service, such as IP address, browser type, device information, pages visited, and timestamps. We use this to operate, secure, and improve the service.
Cookies and similar technologies. We use cookies and browser storage that are necessary to keep you signed in and to remember preferences such as light/dark theme. We do not use advertising cookies.
3. How we use information
We use information to: provide and operate the service (accounts, ledgers, leases, payments, maintenance, websites); process and record transactions; authenticate users and keep the service secure; communicate with you about your account or support requests; generate rental website content you request; enforce plan limits and billing; prevent fraud and abuse; comply with legal obligations; and improve the product.
Landlords control the tenant and property data in their organization. TenantVille processes that data on the landlord's behalf to provide the service.
4. When we disclose information
We do not sell personal information. We disclose information only in these circumstances:
Payment processing — Stripe. Payment and payout information is shared with Stripe to process subscriptions, rent payments, and landlord payouts. Stripe's handling of that information is governed by Stripe's own privacy policy.
Within a rental relationship. Information a landlord enters about a tenant (such as lease terms, charges, and documents) is visible to that landlord and to the invited tenant through the tenant portal. Tenants can see only their own lease, charges, payments, and documents.
Published rental websites. If a landlord publishes a website through TenantVille, the content they choose to publish — such as property, unit, and contact details — is publicly accessible at that site's address.
Service providers. We use a small number of infrastructure providers to host the application, store data, and provide authentication. These providers process information only as needed to deliver those services to us.
Legal and safety. We may disclose information if required by law, regulation, or legal process, or to protect the rights, property, or safety of TenantVille, our users, or others.
Business transfers. If TenantVille is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
5. Data retention
We keep account and rental data for as long as your account is active, because ledgers, leases, and payment history are the ongoing record of the rental relationship. Support messages are kept as long as needed to handle your request and maintain a service history.
You may request deletion of your account and associated data by contacting us through the support page. Some records may be retained where required for legal, tax, accounting, or fraud-prevention purposes, and residual copies may persist in backups for a limited period before being overwritten.
6. How we protect information
We use reasonable administrative, technical, and organizational safeguards, including: encrypted connections (HTTPS); isolation of each organization's data with row-level access controls in the database; separation of tenant data so tenants can access only their own records; server-side handling of payment operations so payment confirmations come from the payment processor, not the browser; and no storage of raw card or bank credentials on our systems.
No method of transmission or storage is 100% secure, so we cannot guarantee absolute security, but we work to protect your information and continuously review our practices.
7. Your choices and rights
You can access and update much of your information directly in the app (profile, organization, properties, tenants, billing settings). You can choose whether to publish a rental website and what it contains, and you can disable tenant autopay at any time from the tenant portal.
Depending on where you live, you may have additional rights regarding your personal information, such as the right to access, correct, delete, or receive a copy of it. To exercise any of these rights, contact us through the support page and we will respond within a reasonable timeframe.
8. Children's privacy
TenantVille is a business tool for landlords and their adult tenants. It is not directed at children, and we do not knowingly collect personal information from children.
9. Changes to this policy
We may update this Privacy Policy from time to time. The “last updated” date at the top shows the current version. If we make material changes, we will make reasonable efforts to notify users through the service.
